Information we collect

Depending on the service you use, we may collect information you provide such as your name, WhatsApp or telephone number, event details, event date and time, venue or location, selected services, booking and payment status, class registration details, notes, and other information you choose to provide.

How we use information

We use information to respond to enquiries, prepare quotes, manage bookings and registrations, provide requested services, send relevant service notifications, maintain business records, improve our website, and protect our services from misuse.

Third-party services

Our website may use third-party services to operate features such as messaging, analytics, authentication, calendars, media storage, hosting, and social-media integrations. These providers may process limited information as necessary to provide their services and are subject to their own privacy policies.

Google sign-in for administrators

Approved administrators use Google sign-in to access our administration panel. We use Google account information, including email address and account identity, to authenticate administrators and check access permissions. Customer bookings do not require Google sign-in. We do not receive your Google password.

Google Calendar connection

An authorized administrator may connect a Google Calendar account to manage our event schedule. Our booking integration creates, updates, and deletes booking-related Calendar events. Event details may include customer name, contact number, event date, venue, internal setup times, services, payment summary, notes, and the booking link. These details are visible to people who have access to the connected calendar according to its sharing settings.

The server stores an OAuth refresh token to maintain the authorized Calendar connection and stores Calendar event identifiers and links with bookings. Google account and Calendar information is used for authentication and event operations, not advertising. The administrator can revoke our access through their Google Account permissions; contact us for removal of stored connection information. Revoking access stops future syncing but does not automatically remove previously created Calendar events.

WhatsApp and Telegram notifications

Relevant booking and service messages may be sent to customers through WhatsApp. Our administrators receive operational notifications through Telegram, which may include customer contact details, booking information, links, and invoice PDFs. These services process the information needed to deliver the messages. Please avoid including sensitive personal information in notes or reference photos that is not needed for your event.

Pinterest integration

Smarty Party Creations may connect its own authorized Pinterest account to access Pins and Boards belonging to that account. This access is used to allow authorized Smarty Party administrators to select our own decoration media for use in the smartyparty.lk gallery. We do not use this integration to access the Pins or Boards of general Pinterest users.

Cookies and analytics

We may use cookies or similar technologies and analytics services to understand website usage, performance, and visitor interactions. Information may include device, browser, page-view, and general usage data.

Data sharing

We do not sell personal information. Information may be shared with service providers only where reasonably necessary to operate our website and services, comply with legal obligations, or protect our rights and users.

Data retention and security

We retain information only for as long as reasonably necessary for the purposes described above, business recordkeeping, dispute resolution, and applicable legal requirements. We use reasonable administrative and technical safeguards to protect information.
